SoftwareTechniData HSS features a range of solution components for different user groups in the company, all of whom can access the same database. This means, for example, that an occupational physician planning preventive check-ups for an employee can access the information which the hazardous substances officer has already entered into the system. This prevents entries from being entered twice and means that up-to-date data is available to all authorized users at all times. The individual components include:
» Hazardous substance management:
Companies are required to maintain a hazardous substances register listing all the hazardous substances they use and include details of quantities. TechniData HSS provides a hazardous substances register with a wide range of functions. The solution also helps companies to identify alternative substances. This allows the company to avoid buying hazardous substances whenever possible and to reduce the overall number of different substances it uses.
The system makes for convenient management and easy updating of safety data sheets. Other documents such as operating procedures and labels can be created in a standardized format and/or managed in the database. The solution allows hazardous substances to be seamlessly tracked and documented as they make their way through the company.
» Occupational health and safety:
Under the terms of the Health and Safety at Work Act, the company is responsible for occupational health and safety. The officer for occupational safety appointed by the company helps the system draw up exposure profiles and hazard assessments. If the resulting risk rating means that action needs to be taken, the officer can initiate the necessary measures by entering them into the system. The employee concerned - for example the maintenance engineer - will immediately receive a message on his job sheet. The process of implementing the necessary measures can be monitored in the system. The solution supports reporting of all the activities of the hazardous substance officer and health and safety officers to ensure that they discharge their obligations properly.
» Incident management:
In spite of all the preventive measures taken, if a workplace accident or near-accident does occur, it is vital to analyze the incident properly so that the appropriate measures can be taken to prevent it from happening again. The rapid incident recording function is used to enter the details of the incident, including the outcome, time and whether there were any witnesses, into the incident log. If reporting of the accident is mandatory, the incident officer would generate a report for the accident insurance company plus any necessary in-house reports directly from the system. Details of the injured party's absence can be transferred automatically to the HR system. The next step would be for the incident officer to analyze what happened and if necessary take preventive action. If he were to find that the accident happened because an employee had not been properly instructed, he might stipulate that the employee undergoes relevant training.
This solution also allows companies to measure themselves against their competitors. It features reporting and analysis tools that can produce standard benchmark ratings (e.g. accidents per 1000 employees rating or OSHA rating) at the touch of a button.
» Claim management:
Following occupational accidents, employees may have a right to claim compensation for loss of earnings, for example. If the accident was caused by a third party, the company may be able to make a claim. In the event of environmental damage, claims may be made against the company. These claims are not managed and handled by accident insurance organizations in countries like the U.S. or the U.K. separate legal requirements exist in these countries. Claim management using TechniData HSS allows the resulting risks and costs to be kept to a minimum. The solution helps companies to manage and handle all claims. They can also use it to calculate the costs arising from claims and the reserves they need to build up for the future.
» Occupational healthcare:
The occupational physician can draw up a plan for each employee, detailing and coordinating the preventive medical check-ups which are required. To do so, he uses information from the risk assessments conducted by the occupational safety team. Based on this data, the system automatically submits a proposal to the occupational physician for the employee check-ups. He can define thresholds for different types of exposure (e.g. noise, vibration, oil vapor, etc.) so that check-ups are triggered at the correct point. The solution assists with making appointments and provides the physician with a convenient tool for running his medical service. He can clearly view all medical data such as a patient's medical history or record of vaccinations in the electronic patient file, and can easily make additional notes in the file. He can document and archive all procedures in accordance with the law and in compliance with his duty of confidentiality. The solution also allows evaluations to be carried out for purposes of health management. HSS also helps HSE officers to manage and document the training of first-aiders.
